We tell dental practices that compliance should be designed in, not bolted on. The same standard applies to us. This policy is written in plain language because that is the only kind worth writing.

Veritonix provides IT support, marketing, and practice development services to dental offices. We are based in Ontario, Canada, and this policy is written to align with the Personal Information Protection and Electronic Documents Act (PIPEDA). The only personal information this website collects is what you type into the inquiry form: your name, role, email address, phone number if you choose to provide it, practice name, location, practice details, and your message. Nothing on this site collects information behind your back.
Like nearly every web server, ours keeps standard technical logs (IP address, pages requested, browser type, timestamps) for security and troubleshooting. Your IP address is also used, stored only as a salted hash, to limit how many times the inquiry form can be submitted per hour. That is a spam control, not a tracking mechanism.
The inquiry form asks you not to include patient names or health information, and we mean it. This website is not a channel for personal health information. If work we do together involves patient data covered by PHIPA, we set up an appropriate secure channel and agreement first. Anything patient-identifying accidentally submitted through the form is deleted.
We use what you submit for exactly one purpose: responding to your inquiry and, if you become a client, delivering the services you asked about. Submitting the form does not put you on a mailing list. We do not send newsletters, drip campaigns, or promotional email, which also keeps us comfortably on the right side of Canada's Anti-Spam Legislation (CASL).
Nobody, with two narrow exceptions. Your inquiry is delivered to us by email, so it passes through our email infrastructure the same way any email does. And we will disclose information if a law with jurisdiction over us genuinely requires it. We do not sell, rent, trade, or otherwise share personal information with third parties.
Inquiries are kept as long as they are useful for the conversation they started, and business records for clients are kept as long as tax and business law requires. If you want an inquiry deleted, ask, and we will delete it.
This site is served over HTTPS. Inquiry data lives in our email system, which is protected the way we tell our clients to protect theirs: access control, encryption in transit, and current, patched infrastructure. No system is perfect, but securing systems is literally the job.
Under PIPEDA you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email info@veritonix.com and we will respond within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
If we change how this site handles personal information, this page changes with it and the date at the top is updated. We will not quietly weaken it and hope nobody reads the diff.
